Helpful Hints for Attending Meetings
Some Jefferson County meetings are held in a hybrid format, in which attendees can participate in person or online. Other meetings are held in only a virtual format. This page contains helpful hints when attending those meetings.
WebEx Meeting Platform
WebEx is the virtual meeting platform used by many of the Jefferson County meeting bodies. Prior to the meeting, you can join a test WebEx meeting, to test your computer, speaker and microphone.
How to Join and Participate in the Meeting
- Go to the link provided for the WebEx meeting
- Select the “Join by Browser” option
- You will be muted upon entry, but please be sure to double check and that your microphone is muted
- Delay in Presentation Slides or Interruption of the Meeting

Any videoconferencing solution may experience delays or hiccups within a meeting in the video, audio or presentation slides due to multiple variables – Internet connection speeds and
geographic distance between users are two examples. These can cause delays of several seconds.- We appreciate your patience if you are experiencing this issue and understand that the presenters are doing everything they can to keep things synced.
- To reduce the potential for delays:
- Ensure that you are using a stable and fast internet connection
- Only share video when necessary
- Video Staggering or Pixelation

Jeffco now uses high definition (HD) technology for the live stream of our meetings. While most viewers will find this a much better viewing experience, it is possible that users with a slower internet connection may see some video staggering or pixelation. This may also occur if viewing on a mobile device with limited bandwidth. Please know your data usage/plan when accessing HD video.
- How to Join a WebEx Meeting Virtually Using Audio Only

If you are not attending the meeting via computer, you can call in. However, if you would like to provide public comment or public testimony at a hearing, you must log in to the WebEx meeting on a computer. We cannot guarantee that call-in users will be able to provide public testimony.
To find the call-in number or the link to be able to log in via a computer, visit the County Public Meetings page and find your meeting on the event calendar for the link and all information for that meeting.
- Call the phone number provided for the meeting
- Enter the Access Code when prompted
- Press # for your caller ID
- Make sure to mute your phone
- Changing Screen Size within the WebEx Platform

Within the WebEx platform, if you’d like to change the size of the screens during a meeting, follow these steps once you’re in the meeting:
- Find the screen you’d like to make larger from those available
- When you roll over that screen with your mouse, you should see a “More Options" button (circle with three dots) in the upper right corner of that screen
- Click on that “More Options” button; that will bring up a list of options
- Select the “Move to stage” option; that will make that screen larger within your meeting screen
- If you’d like to make that screen smaller again, click on that “More Options” button within that screen and select “Remove from stage”
To attend the meeting, visit the County Public Meetings page and find your meeting on the event calendar for the link and all information for that meeting.
- Troubleshoot - Audio Issues during a WebEx Meeting

First, you'll need to choose your audio preference. There are several options for audio, only select one:
- Use computer for audio
- Call me
- Call in
- Don’t connect to audio
If you prefer to call in using your telephone rather than using the computer audio (for instance, if your computer does not have a microphone), you can select the “Call in” or “Call me” options, and you should not call in separately using the phone number option in the meeting.
Mute your microphone in meetings when you are not speaking to avoid distractions or interruptions to the meeting. Do not double mute (muting your phone and your WebEx audio at the same time). Choose one method to make sure you can unmute easily when ready to talk.
If you join the meeting as a public attendee, the meeting host will have to unmute you before you can be heard.
- Troubleshoot - Echo or Reverberation in a WebEx Meeting

If your audio connection is causing an echo, try the following:
- Ensure that you are only using the speakers and microphone for one audio device and mute any other devices.
- For example, if you connected to the meeting by phone and by computer then mute the speakers on your computer.
- Ensure that you did not accidentally open the same meeting twice on your computer. If you did then close one of the windows or tabs. If still having trouble, try leaving the meeting completely for any instances you have open and rejoining only one.

Zoom Meeting Platform
Only a few of the Jefferson County meeting bodies use the Zoom meeting platform. Here are several tips on how to use the platform for a good user experience.
How to Access a Zoom Meeting
You’ll need to download the latest version of Zoom to your type of computer. You can do that at the Zoom download center. If you have any questions about downloading or upgrading your version of Zoom, they have provided this Getting Started with Zoom article.
According to Zoom, a Zoom account is not required if you are strictly joining a meeting as a participant. If someone invites you to their meeting, you can join as a participant without creating an account. You can learn more about joining a Zoom meeting without an account on the Zoom support page.
